Booking conditions

1. Contract and booking confirmation
Define when an enquiry becomes a confirmed booking and which documents form the contract.
2. Deposit and final payment
State deposit amount, payment deadlines, accepted payment methods, currency and consequences of late payment.
3. Guest cancellation
Include a clear cancellation schedule and explain whether deposits are refundable or transferable.
4. Operator cancellation or significant change
Explain minimum group requirements, alternatives, refunds and circumstances outside reasonable control.
5. Itinerary changes
Reserve the right to modify routes, pace, accommodation or activities for weather, safety, trail conditions and horse welfare.
6. Riding ability, fitness and weight
Require accurate disclosure and explain the consequences when a guest’s ability or fitness is unsuitable for the booked programme.
7. Safety and guide instructions
Require compliance with helmet rules, equipment guidance and reasonable instructions from the tour leader.
8. Travel documents and insurance
State passport, visa and comprehensive insurance responsibilities.
9. Medical information and emergencies
Explain what relevant information must be disclosed, how emergency decisions are handled and which costs remain the guest’s responsibility.
10. Complaints and applicable law
Provide an on-tour reporting process, post-tour deadline, dispute process and governing jurisdiction.
